When your colleague tests your patience… how do you stay professional?

We’ve all been there. You’re in the middle of deep work, and suddenly…
A chatty teammate starts telling you a long story while you’re trying to concentrate.
A junior colleague asks you 10 small questions throughout the day instead of just one focused session.
Someone in the office takes loud phone calls or constantly creates background noise.
At first, it feels small. But over time, these little distractions pile up and drain your focus.
So, how do we handle this without losing our cool and without damaging the relationship?
Here are a few approaches I’ve learned (sometimes the hard way):
- For the “constant question asker”: Instead of answering every single interruption, offer them a notebook. Ask them to write down their questions and bring them all at once, maybe after lunch or an hour before finishing work. This way, they still get your support, but you also protect your flow.
- For the “talkative colleague”: Be honest but kind. Let them know you work best in silence and suggest catching up during lunch, coffee breaks, or even in your Pomodoro breaks. That way, you still connect, but not at the expense of productivity.
- For the “noise creator”: Create team-wide agreements. For example, if someone needs to take a call, they step outside. Phones stay on silent during focus hours. These small rules reduce friction for everyone.
The golden rule: Don’t take it personally. And when you give feedback, never call someone out in front of others. People naturally get defensive. Instead, keep it friendly, private, and solution-focused. Not every issue needs to be escalated to a supervisor. most can be solved 1o1 with respect and empathy.
At the end of the day, professionalism isn’t about avoiding conflicts. It’s about how gracefully you handle them.
